Job Summary:
This role combines administrative support with operational duties, including job quoting, invoicing, production tracking, inventory management, order processing, training schedule development, and social media management. The ideal candidate will be a detail-oriented self-starter capable of managing multiple tasks and projects simultaneously.

Duties and Responsibilities:
Administrative Support:
- Perform general administrative tasks such as budget preparation, monitors expenditures; creates purchase requisitions, direct vouchers, and fund transfers.
- Supervises student workers; trains and orients new staff members.
Job Quoting and Invoicing:
- Prepare accurate job quotes for clients in a timely manner.
- Generate and send invoices, ensuring all billing information is correct.
- Follow up on outstanding invoices and coordinate with the finance department as needed.
Production Tracking:
- Create Job Travelers for Manufacturing projects.
- Monitor the progress of jobs through the shop to ensure timely completion.
- Coordinate with production staff to address any delays or issues.
- Provide regular updates to Director on job statuses.
Inventory and Ordering:
- Maintain inventory levels of consumable materials required for industry projects.
- Place orders for consumables and other materials based on project needs.
- Process orders from engineers, ensuring specifications and timelines are met.
Training Coordination:
- Develop and maintain the company's training schedule.
- Coordinate training sessions, including logistics, materials, and participant communication.
- Track employee training progress and maintain training records.
- Print and distribute certifications upon completion of training programs
Social Media Management:
- Manage and update the company's social media accounts to enhance visibility.
- Create and schedule engaging content aligned with goals.
- Monitor social media engagement and respond to comments or inquiries.
Performs other duties as assigned.

Required Minimum Qualifications:
- Bachelor's degree in Business Administration, Operations Management, or related field or four years of relevant experience.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with social media platforms and basic content creation.
- Exceptional organizational and multitasking skills.
- Strong communication skills, both written and verbal.
- Ability to work independently and collaboratively within a team.
- Attention to detail and problem-solving abilities.

Preferred Qualifications:
Two (2) years of experience in a Manufacturing role.
