Job Summary:
The Recruitment Assistant plays a crucial role in supporting the University's recruitment and hiring initiatives. This role involves assisting the recruitment team in application screening, data entry and management, and candidate communication, as well as facilitating the student employment program. The Recruitment Assistant contributes to the overall efficiency of the recruitment process by ensuring seamless coordination and communication between candidates, hiring supervisors and the Human Resources team.

Duties and Responsibilities:
- Responsible for the execution and maintenance of the Student Employment Program in collaboration with related departments such as Graduate Studies.
- Assists with creation and maintenance of physical and digital training resources for students and hiring managers as it relates to student employment.
- Maintain the new hire adjunct faculty hiring process, including job postings, verification of Certification to Teach Forms, submitting background screenings, and initiation of the onboarding process.
- Responsible for the review and posting of all approved student and adjunct faculty recruitments, reviewing submitted applications, communicating with the hiring managers throughout the process, and initiating all pre-employment activities.
- Works with hiring managers to administer and guide full recruitment processes ensuring consistent recruitment processes and practices (advertising, applicant tracking, candidate-sourcing and screening, interviewing and pre-employment processes).
- Works closely with internal HR staff and hiring managers in achieving and maintaining compliance with the Fair Labor Standards Act and Jax State policies and procedures.
- Assists with managing the applicant tracking database ensuring the highest level of data integrity. This includes reporting necessary recruitment data to HR Director.
- Evaluates applicants for the right combination of experience, education, and skills to meet the minimum qualifications for a particular position.
- Completes new student employees hiring process to include submission of E-Verify and State new hire confirmations, entering new employees in Ellucian Banner, approving contracts in Dynamic Forms and submitting required information to the Payroll Department.
- Assists with pre-employment processes for assigned recruitments.
- Responsible for cultivating and maintaining internal and external professional relationships and networking with other organizations.
- Represents Jax State at public events, such as job fairs and community job outreach programs.
- Stays abreast of current legislation; enforcing regulations with managers; recommending new procedures; and conducting training.
- Responsible for the continuous update of job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
- Maintains confidentiality of employee and applicant information.
- Performs other duties as assigned.

Required Minimum Qualifications:
- High school diploma or equivalent,
- Four (4) years full-time experience in the human resources field
OR
- Associate’s degree
- Minimum of two (2) years full-time clerical work experience in an office setting
|
Preferred Qualifications:
- Bachelor’s degree in business, Human Resources or related field of study
- Employee recruitment experience
