Job Summary:

The Certification Coordinator provides guidance and support to the certification office as well as assisting students by providing information and answering questions. The certification coordinator serves as the secondary point of contact for students seeking guidance for certification pathways and navigating complex certification procedures. The certification coordinator maintains up-to-date knowledge of certification standards, regulations, and state codes.

Duties and Responsibilities:

  • Provide support to the Certification Office and Certification Officer.
  • Provide guidance and support to include assisting students, past, present, and future, by providing information and answering inquiries. Provides excellent customer service when interacting with students, faculty, staff, and visitors, in person, by phone, and electronically daily.
  • Process Federal TEACH Grant Request forms and forward them to Financial Aid.
  • Collect Graduate School Applications. Verify applicant is eligible/not eligible: meets certification requirements, background clearance, transcripts, and all other program admission requirements by tracking in files and on spreadsheets for each semester. Once the applicant meets eligibility, forward to the Certification Officer for program admission approval/disapproval.
  • Assist Certification Officer with Internship Application checkouts, completing checklists with grades and terms for each course, verifying GPA (Grade Point Average), passing test scores, current courses, and course deficiencies, if any. Track throughout the semester, noting when grades roll, test scores received, and re-calculating GPA. Along with certification officer, meet with advisors to verify that all information is correct. Clearing all students who have completed all requirements for internship.
  • Assist with completing the necessary paperwork for graduate students (Alt. A and traditional) employed as teachers of record seeking the first Interim Employment Certificate (IEC). Provide completed SA1 packets to the certification officer for submission to the hiring school systems.
  • Providing IEC information to Alt and PCTF. As students applying to intern who are employed as teachers of record. Following up, when necessary, to ensure students are properly certified prior to internship.
  • Assist with reviewing and evaluating transcripts for prospective Alt. A candidates, assuring that evaluations meet Alabama State Department of Education code requirements.
  • Assist faculty/staff with questions about eligibility, testing, and program requirements.
  • Field calls and emails regarding Praxis deadlines, score requirements, etc.
  • Stay up-to-date on the Alabama State Department of Education Preparation and Certification Code.
  • Provide support with provisional certification routes.
  • Serves on committees as assigned.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • Bachelor’s degree in Counseling, Student Personnel, or Psychology, or closely related field
  • Minimum of two (2) years’ related experience in the university environment, including extensive student contact
  • Experience in higher education administration working with students
