Job Summary:

This position ensures the accuracy and legitimacy of degree completion for graduate and doctoral students enrolled at Jax State. This position requires meticulous detail, excellent organizational skills, and a thorough understanding of academic policies and procedures. The Certification Officer plays a pivotal role in upholding the academic standards. This position combines expertise in policy compliance, records management, and process improvement. This individual will report to the Assistant Registrar, Graduate and will review, process, and certify degrees. Due to the nature of certification and commencement, some nights and weekends may be required.

Duties and Responsibilities:

  • Review and verify student records to ensure all graduation requirements have been met.
  • Confirm the completion of coursework, thesis/dissertation, exams, and any other necessary components for degree fulfillment.
  • Cross-reference academic records with program requirements to ensure accuracy.
  • Liaise with academic advisors, faculty members, and relevant departments to resolve any discrepancies or outstanding requirements.
  • Maintain accurate and up-to-date records of student progress toward degree completion.
  • Generate official certification and certificates awarded each term.
  • Ensure compliance with institutional policies and legal requirements regarding the release of academic records.
  • Serve as a point of contact for students, faculty, and staff regarding graduation-related inquiries.
  • Provide guidance and support to students throughout the graduation process, including clarification of requirements and deadlines.
  • Collaborate with academic advisors and departmental administrators to facilitate smooth graduation procedures.
  • Identify opportunities to streamline and improve certification processes.
  • Implement enhancements to ensure efficiency, accuracy, and compliance with institutional standards.
  • Stay informed about changes in academic policies and regulations relevant to degree certification.
  • Collaborate with the Data Specialist to routinely update DegreeWorks to support student progression.
  • Other duties as assigned.

Required Minimum Qualifications:

  • Bachelor’s degree
  • Two (2) years’ of related work experience in a higher education environment

Preferred Qualifications:

  • Experience with Student Information systems, such as Ellucian Banner.
