Job Summary:
The Administrative Assistant in the Department of FEA is responsible for clerical work involving processing and maintaining office records, reports and processes, and for disseminating information about JSU, academic programs offered and academic events and explains methods and procedures to students, staff, and the general public.
Duties and Responsibilities:
- Acts as receptionist; receive, screen and routes visitors; answer routine inquiries by phone, in person, or referring to the appropriate person; maintains supervisor’s appointment calendar.
- Receives, sorts, and distributes mail; organizes correspondence requiring attention of supervisor; may modify form letters to fit varying situations; completes routine forms.
- Responds to communication requests for standard information or materials.
- Establishes and maintains hard copy and/or computer-based filing systems.
- Verifies the correctness of processed data.
- Maintains office equipment and the inventory of office supplies and materials.
- Makes simple mathematical calculations – addition, subtraction, multiplication, and division.
- Operates standard office machines including a computer and commonly used word processing software.
- Maintains inventory of office supplies and materials.
- Oversees the work of student employees.
- Assists with maintaining data, personnel payroll information according to established procedures.
- Assists with requisitions, purchase orders, travel, etc., when needed.
- Performs other duties as requested.
Required Minimum Qualifications:
- High School diploma or equivalent, and
- at least two (2) years full time equivalent experience in clerical or administrative support
Preferred Qualifications:
- Proficiency in social media platforms, along with experience creating and producing print and digital marketing materials to support departmental communications and events.
