Monday - Friday 8:00 am - 4:30 pm, some evenings and weekends required

Job Summary:

The Coordinator, Conference Services is responsible for leadership, coordination, and operations of conference services, supervising and training of student workers, and developing and implementing procedures and practices that support the overall growth of the student staff and campus visitors. The incumbent frequently work weekends, evenings, and is on call for emergencies.

Duties and Responsibilities:

  • Coordinates all aspects of the Conference Services program, which includes but is not limited to, day and overnight summer camps, athletic programs, conferences, and guest accommodations.
  • Supervises professional and student staff (Graduate Assistants and Conference Assistants) for effective management of the Conference Services program.
  • Responsible for administering and operating the provided software system for billing and collections from all Conference Services vendors, guest, and customers.
  • Responsible for the creation and development of marketing and advertising strategies for all Conference Services opportunities.
  • Assists with developing plans and strategies for recruiting and retaining Conference Service programs.
  • Oversees day-to-day operations of conference events by coordinating with the Office of Capital Planning and Facilities for preventive maintenance, summer cleaning projects, and work orders.
  • Serves as the Emergency Preparedness First Responder during conference season as it relates to natural disasters, weather-related emergencies, and/or any other life-threatening incident.
  • Collaborates with the Office of Housing Operations and Residence Life and other campus stakeholders to ensure successful scheduling of all conference events which includes meals and other reservations.
  • Develops customer service, hospitality, emergency response, and conference service training
  • Assists the Director of Business Services in the formation and implementation of departmental policies, procedures, and manuals.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • Bachelor’s degree in Communications, Public Relations, Marketing, or Business, and
  • Two (2) years full-time equivalent experience in auxiliary services central housing functions of administration and management of a student or business affairs program

Preferred Qualifications:

  • Master’s degree in Communications, Public Relations, Marketing, or Business
