Normal Work Schedule:

8:00 a.m. – 4:30 p.m. Monday - Friday

Job Summary:

The Office Assistant is responsible for performing clerical duties in the administrative offices of Capital Planning and Facilities. This position is will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, processing, creating, and maintaining office records, reports, performing other general office clerk duties and errands, and for disseminating department related information.

Job Duties/Responsibilities

  • Acts as receptionist; receives; screens and routes visitors, answers routine inquiries by phone or in person or refers to appropriate person.
  • Assists with arranging itineraries, agenda, and meetings as directed.
  • Establishes and maintains hard copy and/or computer-based filing system.
  • Maintains inventory of office supplies and materials
  • Assists with the maintenance records of equipment and associated contracts.
  • Manages the general email account for Capital Planning and Facilities, ensures accurate and timely responses to all communication received.
  • Receives and ensures timely delivery of work order requests.
  • Receives, sorts according to content, and distributes mail, making final decisions as to which letters can be answered independently by mail or email.
  • Reviews forms and correspondence for accuracy of spelling, punctuation, grammar, spacing, neatness, and general appearance.
  • Duplicates various documents either for processing and/or submission to others; collates and binds for presentation if required.
  • Performs other duties as assigned.

Required Qualifications

  • High School diploma or equivalent, and
  • Minimum of (1) one year of administrative work
