Job Summary:

The Administrative Associate processes and maintains relatively complex office records, reports, and materials. Performs clerical and secretarial work of greater difficulty and with more independence, but within guidelines established by precedents and departmental policies. Under limited supervision, provides operational coordination, day-to-day administrative support, and project management for the department(s) or operational unit(s). Develops and manages projects to help achieve the mission and goals of the department(s)/unit(s). Serves as the primary point of contact for internal and external constituencies. Oversees the planning of meeting and events. May have department or unit based budgetary responsibilities with oversight from supervisor. Reports to the Assistant Vice Provost of Institutional Research and Effectiveness.

Duties and Responsibilities:

  • Receives, screens and routes visitors, answers routine inquiries by phone, email, or in person or refers and copies the appropriate personnel. Presents a professional appearance while representing the University with internal and external clients.
  • Receives, sorts according to content, and distributes mail; organizes correspondence requiring attention of supervisor; independently answers correspondence requesting standard information or materials; may modify form letters to apply to various situations; completes routine forms.
  • Monitors all department budget accounts. Makes financial inquiry, monitors contracts, commits funds, and maintains budget file to keep the AVP advised of current balances, reconciles purchasing card transactions.
  • Creates reports, tables, charts, minutes and other documents.
  • Keep OIRE and AVP office calendars up to date. Advise the AVP of pending circumstances or events.
  • Prepares contracts, specifications, or other forms requiring precise knowledge of methods, procedures, policies, or other information.
  • Coordinates, oversees, and/or performs a wide variety of program support activities on behalf of the office and/or the AVP.
  • Oversees and/or participates in the coordination, supervision, and completion of special projects and/or events.
  • Schedules and prepares travel arrangements. Prepares and submits travel requisitions and expense vouchers. Assist in organizing, planning and scheduling events or visits as needed
  • Coordinates and prepares materials for Department. Takes minutes and records Action Items for department meetings.
  • Records verbal and numerical data such as personnel and payroll information.
  • Inventories and stocks office supplies; orders computers, furniture, etc. as needed.
  • Confirms accuracies of time sheets.
  • Assists in other departments when needed to maintain excellent customer service for internal and external customers.
  • Supports individual units within the department on various tasks and reports.
  • Performs other duties as needed.

Required Minimum Qualifications:

  • High school diploma or GED.
  • At least 5 years of experience directly related to the duties and responsibilities specified.

Preferred Qualifications:

  • Experience working directly with students and faculty
