Job Summary:

The Administrative Assistant provides direct administrative support to the English Department. Establishes, maintains, and ensures compliance of department records; assists with budgetary matters; tracks department funds and purchasing; compiles reports; and monitors assigned projects and program components. This position also provides support to the English faculty and students as needed.

Duties and Responsibilities:

  • Provides general administrative support including assisting visitors, answering routine inquiries by phone, email, or in person or refers to the appropriate person. Presents excellent customer service while representing the University with internal and external clients.
  • Receives, sorts according to content, and distributes mail; organizes correspondence requiring attention of supervisor; independently answers correspondence requesting standard information or materials; may modify form letters to apply to various situations; completes routine forms.
  • Creates files, reports, tables, charts, databases, minutes, and other documents, including creating, printing and distributing faculty schedule cards each semester.
  • Records verbal and numerical data such as personnel and payroll information.
  • Inventories and stocks office supplies; orders computers, furniture, etc. as needed. Maintains departmental copiers and makes faculty copies as needed.
  • Prepares contracts, specifications, or other forms requiring precise knowledge of methods, procedures, policies, or other information.
  • Manages classrooms and departmental electronics: locks and unlocks all classrooms daily and maintains all departmental electronics that faculty check out for use.
  • Organizes all materials and correspondence related to the Writers Bowl high school team competition.
    • 1. Create and maintain an up-to-date state-wide list of high schools with addresses.
    • 2. Prepare bulk mailout of Writers Bowl competition announcement to high schools.
    • 3. Receive and record completed high school registration forms and fees.
    • 4. Prepare information packets for each team.
    • 5. Prepare parking permits for each school.
    • 6. Receive and distribute essay entries to judges.
    • 7. Send prizes to winning teams/individuals
  • Organize all materials and correspondence related to the Imagining the Holocaust middle and high school competition.
    • 1. Create and maintain an up-to-date state-wide list of middle schools with addresses.
    • 2. Create and maintain an up-to-date state-wide list of high schools with addresses.
    • 3. Prepare bulk mailout of Imagining the Holocaust announcement to schools.
    • 4. Receive and organize essay, poetry, and short story entries from students.
    • 5. Create booklet with winning entries.
    • 6. Submit booklet to Print Shop for printing.
    • 7. Send prizes to winning individuals and teachers.
  • Schedules sections of courses each semester.
  • Supervises and schedules student workers for the department.
  • Performs other duties as assigned.

Required Minimum Qualifications:

  • High School diploma or equivalent
  • At least three (3) years full time equivalent experience in clerical or administrative support
